The type of personal information I collect and why:

I currently collect and process the following information:

  • Contact details – name, address, telephone number, email addresses, any other contact info.

  • Payment information

  • General information about your personal and professional activities

  • Information that is specific to your coaching goals and your desired outcomes and progress in relation to these goals

 

Special Category (Sensitive) Personal Data:

The following personal data is classed as Special category data under the GDPR and UK Data Protection Act 2018

  • details about your ethnic or racial origin,

  • political opinions,

  • religious or philosophical beliefs,

  • trade union membership

  • genetic or biometric data,

  • sexual orientation and sex life

  • Medical and health data (including mental health)

 

As a coach, I do not specifically request any of this personal data from you, but you may choose to share information considered to be special category personal data with me during coaching conversations.

When appropriate, I may take notes of the information you have shared provided it is relevant within our coaching agreement and the goals that we are working towards.  

In my notes, I will only record the minimum amount of special category personal data relevant to the desired outcome of the coaching conversation.

If you decide to share special category personal data with me during a coaching session, it is with your explicit consent. My lawful basis for processing this personal data would be to fulfil our coaching contract.

 

How I collect personal data information and why I have it:

Most of the personal information I process is provided to me directly by you for one or more of the following reasons:

  • To provide coaching services to you

  • To request information about the services I provide

  • To receive communications about my services.

 

If any of your personal details change after you have provided them to me, please let me know so that I can ensure my records are accurate and up to date.

 

Under the UK General Data Protection Regulation (UK GDPR), I am required to have a purpose and a lawful basis for processing your personal data. The lawful basis I rely on for processing this information are:

  1. Contractual obligation – when you ask me to provide you with coaching services, I will need to process your contact and billing data in order to deliver these services and perform the contract with you. 

 

How I store your personal data information:

Your information is stored on a password protected computer which is stored in a lockable cupboard when not in use. Cloud based software programs are used only from providers who meet GDPR requirements and have the appropriate measures and security protocols in place to comply with UK and EEA data protection laws. All devices and equipment used to access and store your personal data have appropriate data security settings in place. All internet-based applications are accessed using a virtual private network. 

 

How long do I keep your personal data information:

I only keep personal data for as long as necessary in relation to the purpose it was collected for. When it is no longer required, I will dispose of your information by securely destroying the records I hold. In some instances (i.e. for the purposes of continued professional accreditation) I will anonymise data so that personal references are no longer kept.

 

I keep client records in accordance with UK statutory law and regulatory reporting timescales which is seven years.

 

Your data protection rights:

Under data protection law, you have rights including:

  • Your right of access - you have the right to ask us for copies of your personal information.

  • Your right to rectification - you have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to erasure - you have the right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing - you have the right to ask us to restrict the processing of your personal information in certain circumstances.

  • Your right to object to processing - you have the the right to object to the processing of your personal information in certain circumstances.

  • Your right to data portability - you have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact fiona@fionacameron.co.uk to make a request.

How to complain:

If you have any concerns about our use of your personal information, you can make a complaint to us at fiona@fionacameron.co.uk; you can also complain to the ICO if you are unhappy with how we have used your data.
